2.2.4 Searching for registered persons and related life events

Using a person's name and / or date of birth, HERA allows you to find information about persons who have already been registered in the system, together with information on any related life events. This can be useful for example, if you have to print the certificate of a birth certificate again.

To perform a search:

1. Click the Search icon () in the top right corner. The following search field will appear:

By default, a search will be performed across all life events ( e.g. Birth or Death) and person cards. The latter concerns detailed personal information about persons already registered in the HERA system. To restrict the search to a specific life event, select the life event you are interested in from the drop-down list. Selecting Person Cards will limit your search to the information that is available in the Person cards.

2. You can perform a search using a life event registration number (if this is known) or using a person's last name and date of birth using the format dd/mm/yyyy. Note that the specified last name will also return results for a matching last name of the mother or father.
The following information is returned on the Search results page when performing a search:

1. Events - Shows the top 5 of matching life events. Information includes the event ID, the type of event (e.g. birth or death registration), the date when the registration was submitted and the name of the person for whom the life event was registered.

2. Person Cards - Shows the top 5 of matching persons. For every person in this list, the CSN number, Name, Date of birth and Place of Birth is shown.

When you have performed a search across all information in HERA, the filter buttons at the top of the page allow you to switch between the Events and Person cards information. The number indicates how many results have been found in each category.

If there are many search results (i.e. more than five for each category), you can click the Show more button to scroll through the entire list of results.

For example, when searching for “Jane Doe 03/01/2000“, the following information could be shown:

When you select the right-arrow () next to a Person Card entry from the list of matching Person Cards on the search results page, the latest personal information for this registered person is shown in the Person tab:

To print a life event certificate:

Searching for a life event certificate using a registration number

To print the certificate of a life event (birth registration, marriage registration, etc.) for a person who is already registered in HERA, you can follow the procedure described below:

In the example shown below, a registrar searches for a birth registration with the registration number “BR0000001360“:

1. In the main search section, enter the registration number of the life event you are looking for.

2. Open the appropriate life event registration listed in the Events section.

3. Click the Print certificate button.

Searching for a life event registration number via a Person Card

If you do not have the registration number of the life event, you can also find this information in the Person card of someone who is registered in HERA.

1. In the main search section, enter the name of the registered person you are looking for. In the example below, the registrar is looking for someone by the name of 'Jane Doe' who was born on '03/01/2000':

2. Locate the correct person in the Person Cards.

3. Open the corresponding Person Card and click the Event history tab.

4. Locate the life event registration you are interested in and copy its registration number (e.g. 'BR0000001360' for the birth registration in the example below).

5. Use the procedure in 'Searching for a life event certificate using a registration number' to print the life event certificate.
